POLICIES

CHECK- IN/CHECK-OUT

Before your scheduled date of arrival you will be contacted via text and/or email with your virtual check-in information..

Check-in is at 3:00 p.m. You may arrive earlier and spend time exploring the gardens and property.

At least one occupant must be 21 years of age or older.

Check-out is at 10:00 a.m. We ask that you have your belongings out of your accommodation by that time. You are welcome to spend the rest of the day on the property.

Children must be under ADULT SUPERVISION at all times while on the property.

CANCELLATION

All reservations are subject to the cancellation policy.

  • Non-refundable payment is due at the time of booking.
  • Rescheduling honored up to 14 days prior to check-in.
  • No refunds for cancellations or no-shows after the 14 day time frame.

We cannot be held responsible for acts of nature or weather.

GROUPS

Please contact us in advance if you plan to bring a large group.

Certain sites are better set up for gathering, and we can do our best to place you all together.

Accommodations are for registered guests only*

Management must be notified of all visiting guests.

Maximum of two additional guests per site. Guests cannot spend the night and are only permitted on the property during hours of operation (9am-5pm).

The person renting the accommodation is responsible for any damages done by guests/added guests.

No parties are allowed at any accommodation. Please contact management to book the Terrace for gatherings.

**Minimum of $200 fine for any policy violation.

PET POLICY(dogs only)

At this time we allow dogs at the Stargazer and Creekside Platforms, Glamping Tents 5 and 6, and Luxury Cottages 3 and 4.

*Please read the entire policy before bringing your pets to the property.

  • Coldwater Gardens is not responsible for your pets. 
  • Dogs may not exceed 80 lbs.
  • Dogs must be collared and on a leash at all times. 
  • Owners are responsible for cleaning up after their pet(s). 
  • Please dispose of pet waste in the designated trash areas and not in the accommodations. 
  • Guests are liable for any damages and/or personal injury the pet/s causes to the premises, facilities or other guests etc.
  • Guests will also be held liable if extensive cleaning is required due to their pet/s (prices are listed below).  
  • Pets are not allowed on furniture within the accommodations, or to be left unattended at any time while on the property.
  • Pets must be supervised at all times.
  • Pets are not allowed in the Terrace, Bath House, and Gardens. 

Pets should have all recommended vaccinations up to date. You must agree to provide current records from a licensed veterinarian regarding your pet should Coldwater Gardens request this information from you.

If any pet rules are not followed, you will be asked to vacate the property. Coldwater Gardens also reserves the right to remove guests whose pets are deemed noisy or disruptive.

By booking, you are agreeing to the Coldwater Gardens pet policy in its entirety.

Pet Fees

  • Photography sessions - $10.00 per pet. Max 1 dog per person. $100 fee for extensive cleaning/damage.
  • Primitive Campsites (Stargazer and Creekside Platforms) - $15 per pet, per night. Max 2 dogs per campsite. $100 fee for extensive cleaning/damage.
  • Glamping tents 5 and 6 - $30 per pet, per night. Max 2 dogs per tent. $120 fee for extensive cleaning/damage.
  • Luxury Cottages 3 and 4 -$50 per pet, per night. Max 2 dogs per cottage. $200 fee for extensive cleaning/damage.
NON-SMOKING & VAPING POLICY

Smoking and vaping are prohibited on our property. If it is found that either smoking or vaping has occurred in any structure, there will be a Smoke Elimination Fee of $200 (two hundred dollars) per incident.

This fee, if applicable, will be posted to the guest’s account upon check-out. If the violation is found after guest check-out, the fee will be processed as a late charge on the guest’s account. If you do smoke, please do so outside and in a discreet fashion that will not interfere with the enjoyment of other guests.

To maintain the beauty of our grounds please dispose of all cigarette butts in the proper receptacle.

The Coldwater Gardens Non-Smoking & Vaping Policy has been developed in the best interest of all guests, employees, owners, visitors, and service providers to minimize exposure to secondhand smoke and to ensure compliance with Florida state laws.

The Smoke Elimination Fee may be subject to change.

DAMAGES

We inspect each unit before and after your visit.

If you see something that is damaged when you arrive, please point it out and our staff will make note that it was damaged upon your arrival and is not your responsibility.

We reserve the right to charge your credit card on file for damages to Coldwater Gardens Property during your visit.

Coldwater Gardens is not responsible for damages or injuries sustained by domestic or wild animals on the property.

QUIET HOURS OF ENJOYMENT

For the enjoyment of all our guests, quiet hours are from 9:00 p.m. to 8:00 a.m.

All campfires must be extinguished by 12:00 a.m.

Loud music, yelling, excessive noise, ect. are prohibited.

We aim to provide a quiet and peaceful place for all to relax.

PROBLEM GUESTS

If policies are not being followed, guests may be asked not to return.

Problems include but are not limited to:

  • noise levels,
  • over-populating the accommodations,
  • destroying property,
  • littering campgrounds,
  • profanity,
  • carrying weapons and/or hunting,
  • extreme alcohol use, or any illegal drug use.

Damages assessed will be deducted from the deposit and/or added to the final invoice.

Any breach in the policy will be an automatic $500.

FIREARMS

We retain the right to ask any guest, at any time, to leave the property in the event that a concealed weapon is exposed and/or discharged on the property. If you carry a weapon, please keep it stored properly in your vehicle.

THEFT & LOSS

Guests are responsible for securing their personal property including but not limited too all their personal belongings, vehicles, and/or any other personal property or valuables.

The campground, its owner, agents, and employees are not responsible or liable for theft or loss of any kind, nor damage caused by natural events, fires, floods, windstorms, explosions, lightning strikes, accidents, or vandalism.

All lost and found items will be delivered by Coldwater Gardens employees to the main office (Terrace) to be safe guarded.

VEHICLES

For the safety of employees, guests, and children at play, the speed limit throughout the entire property is 10 mph.

Parking is allowed only in designated areas.

Please do not drive or park vehicles on grassy or landscaped areas as posted.

We allow use of quiet electric golf carts with permission.

We do not allow the use of gas-powered ATVs/golf carts or any unauthorized recreational motor vehicles by our guests on the property.

This includes but is not limited to 4 wheeler's, side-by-sides/UTV, gators, dirt bikes, or unregistered trucks or cars.

They must have stock tires or tires that won't disrupt the grounds or terrain and no loud or disruptive exhausts.

The vehicles can be used for transportation back and forth on site, but not used on any trails or sandbars.

ENVIRONMENTAL

Coldwater Gardens is a Florida-recognized Stewardship Forest that focuses on sustainable farming practices and habitat restoration.

Please do not harm the local flora or fauna.

Guests who stay overnight with us may forage for limbs and non-living downed wood but must not cut down or use live trees, standing dead trees, trees with signs, wildlife tags, trees with blazes, or trees with any evidence of wildlife habitation such as nests or cavities.

All wood that is foraged from the grounds must be used onsite and may not be removed from the property without a permit.

Coldwater Gardens also sells firewood for $8.00 per bundle.
